SHA Problems and fixes: Common issues Kenyans face and how to solve them

Date:

The rollout of the Social Health Authority (SHA) has been a major step toward universal healthcare in Kenya. However, like any new system, it hasn’t been without challenges. From registration errors to payment failures, many Kenyans have encountered frustrating roadblocks while trying to access services.

If you’ve been struggling with SHA, you’re not alone. Here’s a clear breakdown of the most common problems and practical fixes you can use today.

Registration Errors on the SHA Portal

One of the most frequent complaints involves failed registration attempts. Users often encounter messages like “Record already exists” or “Invalid ID,” which can be confusing, especially for first-time users.

In many cases, this happens because your details were already migrated from the former National Hospital Insurance Fund (NHIF) system. Instead of registering again, you should try recovering your account using the “Forgot Password” option on the SHA portal.

Another common issue is mismatched personal details. Even small differences—such as a missing middle name or spelling variation—can cause the system to reject your registration. Always ensure your details match your National ID exactly.

Timing also matters. The system tends to slow down or fail during peak hours, especially during the day. For a smoother experience, try registering early in the morning or late at night when traffic is lower.

OTP (One-Time Password) Delays

Many users report not receiving OTP codes when logging in or completing registration. In some cases, the session even expires before the code arrives, forcing users to start over.

A simple fix is to wait about 10 to 15 minutes before requesting a new OTP. Repeated attempts within a short time can delay delivery further.

Another helpful trick is using two devices—open the SHA portal on one device and receive the OTP on another. This prevents the session from resetting while switching apps.

The government is also gradually moving toward biometric verification systems to reduce reliance on OTPs, which should improve reliability in the long run.

Problems Updating Personal Details

Updating information such as phone numbers or adding dependents has also proven challenging for many users.

If you still have access to your registered phone number, you can easily update your details by dialing *147# and following the prompts.

However, if you’ve lost access to your old number, you’ll need to visit a Huduma Kenya centre or an SHA office with your original ID for manual assistance.

To add dependents, log in to your SHA account, navigate to your profile, and upload the required documents such as birth certificates or marriage certificates. Ensure all documents are clear and correctly formatted to avoid rejection.

Payment Failures and Access Issues

Payment-related problems are another major concern. Some users report failed transactions, especially when using installment options like “Lipa Pole Pole,” while others are told at hospitals that the system is down.

If the SHA portal is not working, you can still make payments using M-Pesa Paybill 200222, with your National ID number as the account number. This method often works even when the main system is experiencing downtime.

In cases where hospitals claim the system is offline, you can verify your status independently by dialing *147#. This allows you to confirm your registration and contribution status on the spot.

System Downtime and Technical Glitches

Like many digital platforms, SHA occasionally experiences system downtime due to high traffic or technical upgrades. This can affect registration, login, and payments.

When this happens, patience is key. Avoid repeated attempts within a short time, as this can worsen the issue. Instead, wait and try again later, preferably during off-peak hours.

Keeping your browser updated and clearing cache can also help reduce technical errors when accessing the portal online.

When to Seek Help

If all self-service options fail, it’s best to seek direct assistance. You can visit SHA help desks or Huduma Centres for in-person support. Alternatively, you can contact SHA through their official customer care lines for guidance.

Having your National ID and registered phone number ready will speed up the process.

Final Thoughts

The transition to SHA marks a significant shift in Kenya’s healthcare system, but it’s clear that users are still navigating a learning curve. While the system has its flaws, most issues can be resolved with the right steps and a bit of patience.

Understanding how the system works—and knowing how to troubleshoot common problems—can save you time and frustration. As improvements continue, SHA is expected to become more stable and user-friendly, making healthcare access easier for all Kenyans.
